Requesting and receiving a quote

You can request a non-obligatory quote for our services through our website or other communication channels. We use the information provided to prepare and send the quote. Additionally, we keep this information in our administration to have a clear overview of leads, opportunities, and orders, enabling us to assist you in the most efficient way possible.

If you decide to become a customer after requesting a quote, we are obligated by law to keep your data for the duration of our business relationship and for seven years after that. We process this data as part of the preparations for establishing an agreement between you and TrueFullstaq.

Feel free to contact us with any questions you may have using the chat function, email, the contact form, or by phone. We will use your data to respond to your inquiries, for ongoing communication, and to provide relevant information.
We will keep your phone number for up to one month after our agreement ends to report any service outages. Other data will be retained for seven years if it is fiscally relevant.

If you are a customer, we will process your data based on our agreement. If you are not a customer, we will process your data based on our legitimate interest in providing you with excellent service.

Applying to TrueFullstaq

You can apply for open positions or submit an open application through our websites. Alternatively, you can also submit your application via our other communication channels, such as the contact page or by email.
As part of the application process, we may conduct online searches to find publicly accessible information about you, which may include reviewing your social media profiles.

We will retain your data during the application process and for up to four weeks after the end of the application process. With your consent, we can retain this data for up to a year so that we can contact you if a relevant position becomes available in the future.

You can download reports or publications through our website and subscribe to our newsletter. We use your data to provide reports and to inform you about True's services through the newsletter. The newsletter is sent out monthly.

Processing orders and delivering services

When you become a customer, we use your corporate information to process the order. We may also use your personal data to provide services, such as updating you on the status of the service and delivering hardware, as well as logging, backups, management, and support activities.
We are required to retain certain customer data for the duration of the customer relationship and for seven years after that due to legal fiscal retention obligations. Log data is kept for a maximum of twelve months, and backups are stored for the duration of the retention period, which varies depending on the services you receive.

Maintaining contractual relationships 

To fulfill our contract with you effectively, we process your data for purposes such as billing, tracking obtained licenses, and meeting legal administrative requirements. 
We are legally obliged to retain this data for the duration of the contract and up to seven years after its termination.
Our processing of this data is based on both legal requirements and our agreement with you.

The Digital Neighborhood 

TrueFullstaq is part of The Digital Neighborhood. Within this group, we have chosen to use a single CRM system for internal administrative purposes. This means that if you are a customer of True or any of the other entities within the group, your personal data may be accessible to employees of the other entities within the group. Employees of each entity within the group will only have access to your data to the extent necessary for their role. We and the other entities within our group have a legitimate financial, security, and practical interest in this.

Access to portal

With our TrueCare portal, you gain access to a management environment where you can set, provide, and modify your data yourself. We keep track of what you have done and when, so there is evidence of it.
We retain your data for the duration of your time as our customer and for a period of seven years thereafter, insofar as the data is fiscally relevant.

Access to physical locations and camera surveillance

In certain cases, we provide access to our physical locations. These can be our offices or, for example, the data center.
For instance, we maintain a digital visitor logbook when you visit our office in Amsterdam. Additionally, the data centers are secured through camera surveillance, and you must identify yourself when visiting the data center.
We retain your data in the digital visitor logbook for three days, after which the data is deleted. The camera footage is deleted a maximum of four weeks after recording starts unless there is (a suspicion of) a criminal offense or other unlawful act, in which case the footage is retained until the relevant matter is resolved.

Organizing Events/Activities 

We regularly organize events that you can sign up for. The data is used to grant you access to the event and to contact you via email for commercial purposes afterward.

How long do we retain data?

Do we share your personal data with third parties?

We handle your personal data confidentially. The personal data we collect may be shared with third parties for the purposes mentioned above. These include collection agencies, application providers, our accountants, and our external (legal) advisors. We will not share your data with third parties unless we are legally obliged to do so (for example, if the police require it in case of a suspected crime).

With organizations that process your data on our behalf, we enter into a Data Processing Agreement to ensure the same level of security and confidentiality of your data. TrueFullstaq remains responsible for these processes.

If your personal data is transferred to a recipient in a country outside the European Economic Area that does not provide an adequate level of protection, we will take measures to ensure that your personal data is adequately protected. This includes entering into European Union model clauses with the recipient.

We combine your personal data from various sources (such as the data filled in a contact form with your browsing behavior on our website) to provide you with the best online experience. By combining your data, we can show personalized offers and content on various websites that match your interests.
